## Before

Room and unit managers keep tenants in Excel, receipts in a book and rent slips in WhatsApp. Working out what each owner is owed at month-end, after fees, repairs and deposits, is done by hand.

## Three decisions

1. **Contracts are never edited, only replaced.** A renewal or a room transfer ends the old contract and starts a new one, so every report shows which unit a tenant rented, when, and at what rent.
2. **Deposits are kept apart from rent.** A deposit is money held for the tenant, not income, so it never ends up in an owner's payout by mistake.
3. **Built for a phone first.** Managers are out at the properties, so the dashboard, receipts and payments work on a phone, with an Android app as well as the web.

## After

Live since Sep 2026. Units managed and time saved at month-end: added after we measure them.

## What we built

- Properties, units and tenants with contracts, renewals and move-out notices
- Room transfers end the old contract and start a new one, with prepaid rent moved across
- Rent receipts and payments, cash or bank transfer, with an overdue list and a WhatsApp link to each tenant
- Deposits held and returned on their own ledger, never mixed with rent
- Owner statements: rent collected, management fee and repairs taken off, then the payout
- Maintenance tickets, an audit log of every change, and reports with CSV export
- Each company's data kept in its own database schema

## How it's made

Daily database backups kept for 7 days and weekly ones for 4 weeks; runs in Docker on our server; money rules covered by automated tests; Android app with an offline page when the network drops.

Every screen on this page is a mock-up with made-up data. Tenant and owner records in the real system are never shown.
